7:12 pm, Tuesday

Your office is closed. The phone rings anyway.

Cold snaps don't keep office hours. Every unanswered call is a homeowner one tap away from the next shop on Google.

First ring

Arclane picks up.

It greets callers with your shop's name, says it's a virtual assistant, and asks the same questions your best CSR would.

7:13 pm

No heat with a newborn? It rings your on-call tech.

You set what counts as an emergency. Those calls go straight through to whoever is on call tonight. Gas smell or a CO alarm gets safety steps first.

7:20 pm

A tune-up for Thursday? It's on your board.

Routine calls get booked into an open slot on your calendar, with the address, the system, and what the customer said.

7:00 am, Wednesday

You wake up to booked jobs, not voicemails.

Every call is recorded. Every Monday you get a count of jobs booked and emergencies patched, so you can see exactly what it did.

Live in 7 days. A no-sweat setup.

We do the heavy lifting. You spend one easy hour on the phone with us, and a week later your front desk is up and running. No new software to figure out, and no extra work for your office.

Day 1

One hour on the phone with you

That's your whole part. We ask, you answer:

  • Services, service area and hours
  • Who's on call, and how to reach them
  • What counts as an emergency for you
  • Calendar access and who takes transfers

Days 2–5

We build it on our HVAC script

Your shop name, your greeting, your prices (or "the tech will quote"). Emergency routing to your on-call phone. Missed-call text-back. Booking into your calendar.

Day 6

We call it 25 times before you do

No-heat calls, AC tune-ups, gas smells, "I want a real person." Every emergency call has to go to the right place, 10 out of 10, or it doesn't go live.

Day 7

Forward your overflow line. You're live.

Your team still answers first. Arclane catches whatever they can't, day and night. Your first booked-jobs report lands the next Monday.

What you skip

  • Learning a new dashboard
  • Writing AI prompts or call scripts
  • Training sessions for your office
  • A 30-day onboarding in peak season
  • Long contracts and per-minute bills

What we handle

  • The build, the phone number and the forwarding
  • An HVAC call script that knows a heat pump from a tune-up
  • Emergency routing to your on-call rotation
  • Testing before launch, and fixes after

One flat price. No per‑minute bills.

Peak season doesn't spike your bill. Every plan is month-to-month and includes the 7-day setup, call recordings and the weekly booked-jobs report.

Founding Shops: 5 spots, then it closes.

The first 5 HVAC shops to sign by December 31, 2026 pay no setup fee and keep their monthly price locked for 12 months. In return, we share your results (with your OK). It's capped at 5 because that's how many builds we can do right during heating season.

Straight answers.

Will callers know it's not a person?

Yes. It tells them up front that it's your shop's virtual assistant, because we think that's the honest way to do it. Anyone who asks for a person gets transferred. Call the demo line and hear it for yourself before you decide.

What happens on a 2am no-heat call?

You decide what counts as an emergency on the setup call, like no heat below a set temperature. Those calls ring your on-call tech directly. Gas smell or a CO alarm gets the safety steps first: leave the house, call 911 or the gas company.

Do I have to learn anything or train my office?

No. You spend about an hour with us on day 1, and that's it. Bookings show up on the calendar you already use. When something changes, like your hours or who's on call, you text us and we update it.

Will it double-book my techs?

It only books into slots that are open on your calendar. Before going live, we test it against your real schedule.

Does it work with ServiceTitan or Housecall Pro?

Booking straight into field-service software depends on what that software lets outside tools do. We check yours on the setup call and tell you plainly what will and won't work before you pay anything.

What if I want to cancel?

Every plan is month-to-month. Tell us and it stops at the end of that month.

Hear it take a no‑heat call.

Call the demo line and pretend your furnace just quit. Then decide.
